MISUMI’s Privacy Policy for Job Applicant

This Privacy Policy (“Policy”) sets out the basis upon which MISUMI may collect, use, disclose or otherwise process personal data of Job Applicant via MISUMI’s website. This Policy applies to personal data in our possession or under our control, including personal data in the possession of organizations which we have engaged to collect, use, disclose or process for our purposes. We will comply with this policy and laws concerning the protection of personal data and will handle personal data properly.

Article 1 Definition

“Personal Data” means data about a job applicant who can be identified: (a) from that data; or (b) from that data and other information to which we have or are likely to have access. Personal Data which we may collect including but not limited to your:

(a)
name or alias, gender, your identification number, date of birth, nationality, and country and city of birth;
(b)
mailing address, telephone numbers, e-mail address and other contact details;
(c)
resume, educational qualifications, professional qualifications and certifications and employment references;
(d)
employment and training history;
(e)
work-related health issues and disabilities; and
(f)
photographs.

“Job Applicant” means an applicant who has applied for recruitment position.

“MISUMI” means MISUMI (Thailand) Co., Ltd. or MISUMI Malaysia Sdn. Bhd. or PT. MISUMI Indonesia or MISUMI Vietnam Co., Ltd. or MISUMI South East Asia Pte. Ltd., subject to where Job Applicant applies for recruitment position.

“MISUMI Group” means MISUMI group companies stipulated at https://www.misumi.co.jp/company/outline/global.html

Article 2 Consent / Purpose

By registering and applying for any position with MISUMI, you consent us collecting, using, disclosing and proceeding your personal information and data for the following purposes:

(a)
assessing and evaluating your suitability for employment in any current or prospective position within the organization;
(b)
verifying your identity and accuracy of your personal details and other information provided;
(c)
sharing Personal Data within MISUMI Group for the purposes of:

to share contact information on recruiting activities;

to share procedure from entry to selection of recruitment;

to prepare procedure for employment and education; and
-
to prepare job entry management, employment management after employment.

The purposes listed above may continue to apply even in situations where your relationship with us (for example, pursuant to a contract) has been terminated or altered in any way, for a reasonable period thereafter (including, where applicable, a period to enable us to enforce our rights under any contract with you).

Your personal information and data will be stored and processed in MISUMI, and MISUMI Group, if necessary. If MISUMI or MISUMI Group requires the use of your Personal Data for a purpose other than those set out herein above, we will request your consent to the same.

Article 3 Data Protection and Confidentiality

MISUMI respects the privacy of the personal information and data of the Job Applicant and take data protection seriously. We will ensure compliance to standards of security and protect confidentiality in respect of your Personal Data submitted. When processing data, we take into account general data security standards. You should be aware, however, that no method of transmission over the Internet or method of electronic storage is completely secure. While security cannot be guaranteed, we strive to protect the security of your information and are constantly reviewing and enhancing our information security measures.

Article 4 Collecting and Using your Personal Details

Your Personal Data are collected and saved in Job Applicant database during the application process. Application documents such as your letter of application, CV, educational and training qualifications and work certificates are also collected and stored.

Generally, this data is only saved, evaluated, edited or forwarded internally as part of your application. Only duly authorized staffs of MISUMI’s HR Department and those individuals who are responsible for making the selection in MISUMI Group will be permitted to access such Personal Data. Under no circumstances will your data be passed on to any company or individual outside of MISUMI and MISUMI Group or used for any other purpose without your prior consent. However, MISUMI may disclose and/or transfer such Personal Data to any third party suppliers or service providers who have been duly authorized by MISUMI for purposes stipulated in Article 2.

The data may be used for statistical purposes (e.g. reporting). In such cases, nothing can be traced to any individual.

Article 5 Transfer of Data

MISUMI agrees to keep your Personal Data confidentially. The Personal Data collected may be transferred, stored and processed in any country in which MISUMI or any member of MISUMI Group operates. By registering with MISUMI, Job Applicant are deemed to have agreed to, consented to and authorized MISUMI to disclose and/or transfer their personal information and data under the purpose above outside of the Job Applicant’s country.

Article 6 Right to Access and Correct Information

You may submit a request (a) access to a copy of your Personal Data which we hold about you or information about the ways which we use or disclose your Personal Data, or (b) correct or update any of your Personal Data which we hold Please submit this to person in charge at the contact details provided below.

Article 7 Withdrawing Consent by Job Applicant

You may withdraw consent and request us to stop using and/or disclosing your Personal Data for any or all of the purposes listed above by submitting your request in writing or via e-mail to person in charge at the contact details provided below.

Upon receipt of your written request to withdraw your consent, we may require reasonable time for your request to be processed.

Please note that withdrawing consent does not affect our right to continue to collect, use and disclose Personal Data where such collection, use and disclose without consent is permitted or required under applicable laws.

Article 8 Saving and Deleting the Data

Should you take up employment at MISUMI, your Personal Data will be added to your personnel file in MISUMI, and MISUMI Group if necessary.

If you have applied but been rejected, your data will be deleted within twelve months after the application process has ended.

In case we are unable to offer you a suitable position at that time, we would like to add your application to our internal talent pool. Your account will stay active for twelve months and will be deleted automatically after expiration of this term.

You will not be notified that the data has been deleted according to above process.

However, you always have the option to request us delete your data (profile and application) by submitting your request in writing or via e-mail to a person in charge as details below.

Article 9 Effect of Policy and Changes to Policy

This Policy applies in conjunction with any other policies, notices, contractual clauses and consent clauses that apply in relation to the collection, use and disclosure of your Personal Data by MISUMI.

We may revise this Policy from time to time without any prior notice. Your continued employment and participation in our recruitment process constitute your acknowledgement and acceptance of such changes.
